Job Op – P/T Administrative Assistant (Hunter College AANAPISI Project)

Hunter College seeks an Administrative Assistant (part-time) to work on the Hunter College AANAPISI Project (HCAP), a U.S. Department of Education grant-funded program that supports the success of Asian American and other high-need students, including those who are first-generation college-goers, low-income and/or from immigrant families. HCAP provides academic courses, peer mentoring programs, academic and research skill programs, mental health programs and co-curricular events that support undergraduate students to explore their identities, connect to resources, and build a sense of community at Hunter College. HCAP also provides faculty development programs that increase Hunter’s capacity to serve Asian American and other high-need students.

HCAP is based at Hunter College, City University of New York. HCAP is fiscally sponsored by the Research Foundation of CUNY (RF CUNY). The Administrative Assistant is a Part-Time B employee of RF CUNY. 

The HCAP Administrative Assistant will provide administrative and programmatic support across HCAP’s programs. As needed, this position may also support programs under the BMCC-Hunter AANAPISI Bridge Initiative (ABI), a new initiative that HCAP is coordinating with partners at Borough of Manhattan Community College.

Reporting to the HCAP Program Director and working closely with other HCAP staff, the HCAP Administrative Assistant will be responsible for the following tasks:

Administrative and Event Support

  • Provide administrative and programmatic support to HCAP staff for on-campus events and meetings, including: flyering, ordering food, managing logistics and room set up, printing materials for meetings, and note taking
  • Process stipends for program participants, staff reimbursements, and honoraria payments
  • Reconcile credit card charges using RF CUNY’s electronic system, Concur
  • Support the daily functioning of the HCAP program office (pick up mail packages, organize and maintain office supply inventory)
  • Work closely with HCAP and ABI staff to regularly update and maintain HCAP’s student databases for program assessment (class rosters, baseline survey, CUNYfirst)

Communications

  • Create communications material for HCAP events and program recruitment, including flyers, RSVP forms, and social media posts on HCAP’s website, facebook, and instagram
  • Prepare HCAP e-newsletters and update HCAP’s email contact database on mailchimp
  • Update content on the HCAP website, instagram and facebook page

Program Planning and Implementation

  • Participate in HCAP and ABI staff meetings and contribute to planning discussions
  • Schedule and take notes of all HCAP staff meetings

Outreach & Student Engagement

  • Staff the HCAP drop-in office for 2 days per week to greet students and provide information on HCAP programs
  • Assist HCAP staff in campus outreach efforts such as flyering on campus, tabling, visiting classes to share more about HCAP, and reaching out to student groups on campus

Availability:

Candidate must be able to commit to working 17.5 hours per week. Pay rate is $25-$30 per hour, depending on qualifications. The expected start date is February 2023.

The Administrative Assistant will need to work on Hunter College’s main campus (E. 68th Street and Lexington Ave) at least two days per week. Some evening hours will be required for HCAP events and meetings.

Required Qualifications:

  • Bachelor’s degree
  • Ability to work some evening hours and be available on campus for at least 2 days per week
  • Organized and very detail-oriented
  • Strong verbal and written communicator
  • Professional and collaborative team player
  • Strong time management and project management skills
  • Passion for working on Asian American student issues and supporting student success at Hunter College
  • Familiarity with Microsoft Office, Google Drive and Google Docs

Preferred Qualifications:

  • At least 2 years of administrative experience
  • Experience working with college students at a public university
  • Graphic design skills and expertise
  • Familiarity with Concur and other systems for reconciling expenses in a non-profit setting
  • Familiarity with updating websites and managing mailing list platforms (e.g.: WordPress, Mailchimp)
